Present: Rob Meyer, Simon Carr, Laurie Wadsworth, Lisa Hayes, Nancy Snyder, Patty Jenks  

Bold needs attention

This post-event meeting was held to review budget standing and discuss the creation of the commemorative book.

1.      It was the understanding of the Steering Committee that proceeds made from the Breakfast sales would be distributed back to the churches.  Rob made the motion to send each church an equal portion of the              proceeds, acknowledging the breakfast was a wonderful success. Motion was seconded and approved.
2.      Several people need to have personal notes sent to them.  The Historians have a terrific card, depicting the much earlier Lyme celebration that will be used to write the notes.  A picture of the most recent          celebration will be included with the note.  Patty, Rob, Laurie and Nancy all agreed to work on these.  Patty and Rob will fine-tune the list of recipients.  Laurie will get the cards to Patty.
        Patty indicated that many people had expressed hope that there would be hats and aprons available for holiday sales.  She also asked if we could check into the possibility of acquiring canvas bags with the   l       ogo on it if it was not cost prohibitive.  Rob made the motion that 50 each of hats, aprons and bags be ordered to a maximum expenditure of $2,500 and that Nancy investigate further the bag possibility.  Motion              was seconded and approved.
3.      At this time it appears that income from sales exceeded costs of the event. Rob made the motion that if the budget remains positive, the Committee considers purchasing two commemorative trees; one for Lyme   village and one for Lyme Center village; each to have a brass plaque acknowledging the event.  Simon will find out who a knowledgeable arborist in town might be that could help determine the most appropriate         kind to plant. Motion was seconded and approved.
4.      In discussion regarding the commemorative book, it was determined several things need to happen.  Nancy reported that the Publicity Committee had met and she provided a draft schedule of items to be          included in the book.  The list was very inclusive and the Steering Committee provided their input.  A complete and accurate list of all parties involved with the event needs to be compiled.  Patty has started this          and will now break it into a list by committee and then add the volunteers accordingly as she know them.  That list will then be distributed to all Committee chairs for review and additions.  It will then be used as                part of the book, acknowledging the many people in and around the community who helped make this the very successful celebration it was. The additions/corrections to this list need to be completed by the             next meeting. The plan is to have the book available by the holidays.
5.      Patty returned the mahogany box used for the collection of donations to Rob.
6.      The next meeting of the Steering Committee will be held Tuesday October4th at 7pm in the Town Office Conference Room.
